The Medicare Supplement Administrative and Product Support follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant 2 performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.

Responsibilities

The Medicare Supplement Administrative and Product Support will support the VP of Medicare Supplement, and AVP/RVP within the Medicare Supplement leadership team, in addition to providing product marketing support. This is an opportunity for someone looking to learn new skills and advance within the organization.

Responsibilities:

  • Managing calendars; resolving scheduling conflicts and anticipating adjustments based on priorities.

  • Schedule, organize and communicate travel details and manage expenses as needed

  • Supporting event logistics (including onsite support, requiring overnight travel); coordinate with Meeting/Event Planning as needed

  • Coordinate Procurement needs (purchase orders, etc.)

  • Collect information for, update, format, and proofread a variety of materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, talking points, and presentations)

  • Assist Senior Product Marketer Medicare Supplement Product Marketing Support duties, including:

    • Review material the HIVE creates, edit as needed and follow-up with SME if updates are needed.
    • Coordinate content collection to keep Agent toolkit, Marketing toolkit, brochures, service flyer, quarterly bonus flyers and other identified materials up to date.
    • Coordinate Aprimo Corporate Review process.
    • Collect content for and submit Ignite articles to the SharePoint site.
    • Order SWAG/giveaways for upcoming events, conferences, sales presentation trips, etc.
  • Prioritizes time independently and works under minimal direction/supervision; uses discretion when necessary while adhering to standard policies/procedures.

  • Performs ad hoc assignments as needed.

Required Qualifications

  • Experience with Executive Level Administrative Support including calendar and travel coordination.
  • Strong written and verbal communication skills
  • Proficient in Microsoft Outlook, Word, PowerPoint, SharePoint, Teams, Excel
  • Ability to manage multiple or competing priorities, comfort level with switching between tasks rapidly and constantly throughout the day
  • Ability to operate autonomously and support defined or requested tasks
  • Anticipate business needs and make suggestions to help progress the work; be curious and accountable.
  • Demonstrated attention to detail and organization skills
  • Capacity to maintain confidentiality
  • Must be passionate about contributing to an organization focused on continuously improving consumer experiences

To ensure Home or Hybrid Home/Office associates’ ability to work effectively, the self-provided internet service of Home or Hybrid Home/Office associates must meet the following criteria:

  • At minimum, a download speed of 25 Mbps and an upload speed of 10 Mbps is recommended; wireless, wired cable or DSL connection is suggested
  • Satellite, cellular and microwave connection can be used only if approved by leadership
  • Associates who live and work from Home in the state of California, Illinois, Montana, or South Dakota will be provided a bi-weekly payment for their internet expense.
  • Humana will provide Home or Hybrid Home/Office associates with telephone equipment appropriate to meet the business requirements for their position/job.
  • Work from a dedicated space lacking ongoing interruptions to protect member PHI / HIPAA information
